The digital folders can be stored in local networks, or in cloud services like Dropbox or SugarSync, and are accessible anytime, anywhere. For mobile usage the Rack2-Filer Smart apps for both iOS and Android are available free of charge. Rack2-Filer Smart is suited to managing business documents in larger office settings as well as in home offices.

With the Fujitsu ScanSnap scanners and Rack2-Filer Smart, users need only press a button to scan objects ranging from a business card to an A3-sized document directly into an open electronic binder. This can save the room and time needed to manage a classic paper archive: Each of the six rows may contain up to 42 digital binders, which in turn provide space for 500 pages. In all, 20 file cabinets are available and offer room for more than five million digital pages that can be managed far more easily than dealing with reams of paper.

Rack2-Filer Smart depicts a classic filing cabinet to make its operation easy, even for users who are not familiar with digital document management. Like in a classic filing cabinet, users can arrange electronic binders to display their spines but the digital handling adds convenience through availability and workability. Data can be shared with other users in a local network or via cloud services, and tools such as the index or the memory function help to organise stored pages. It also supports open keyword search, making it easy to find documents within the binders.
