ABBYY Europe, a leading provider of document recognition and data capture technologies, in cooperation with Netherlands-based Fenestrae, announced the availability of UDOCX™ which connects MFPs to ABBYY FlexiCapture 10. This new connector offers seamless connection between UDOCX clients on networked multifunction peripherals (or devices) (MFPs, MFDs) and the ABBYY FlexiCapture enterprise capture platform, offering organisations the ability to deliver documents directly from a variety of multifunction scanning and copying devices into internal business processes.

The new connector closes the gap between networked MFPs and business processes within companies. All multifunctional devices available in a corporate network can be used for scanning and the integration of paper documents into workflows, thus enabling decentralised scanning scenarios where document input can be executed on multiple devices in various departments. Corporate users across an internal network can for example, scan/copy an invoice and directly send it to an invoice capture and processing workflow.

From MFP directly to business workflow

Document processing workflows can be automatically initiated by an employee scanning a document and selecting the appropriate business process from within the UDOCX client visible on the MFP screen. The scans are sent to ABBYY FlexiCapture where relevant metadata is extracted and the documents are processed according to the defined workflow. Workflow processes can be designed according to company approval procedures and access rights. When a corporate user logs-on to the UDOCX client, the available processing options are already selected based on that employee’s user role within the company. The employee simply chooses the appropriate document type and the established workflow rules are applied.

For example, a sales team member can automatically input a document into a Sales Order workflow; a finance/accounting team member can input an invoice directly into an invoice extraction process; or another team member can send a contract directly to a legal review and approval process. ABBYY FlexiCapture classifies/sorts each document according to type and definition. The relevant data is then extracted and forwarded to the appropriate backend system (such as an ERP or CRM system). In addition, the connector can be used for archiving scenarios in which documents are processed and routed for storage in searchable file formats. These workflows can run separately or in parallel with other processes.

When the metadata for a document is clearly defined, documents can be effortlessly located throughout an organisation and their status checked. The adherence to Compliance Guidelines is thus made easier and the transparency and efficiency of internal business processes are improved.

Flexible deployment for secure document handling

The ABBYY/UDOCX integrated connector can be installed either within corporate networks, or used as a Cloud Service with the ability to support document input from regional or remote offices. This flexible deployment helps save significant time and resources while allowing businesses to choose the appropriate scenario for handling secure documents with sensitive content.
