I.T.Co Automated Workflow at JSC CenterAtom
OREANDA-NEWS. May 20, 2011. I.T.Co has completed implementation of BOSS-Referent electronic document management system in JSC "CenterAtom". The system allows to improve the efficiency of company’s management activity, to expand the capability of working with documents and instructions and to reduce time expenses during documents preparation and processing.
JSC "CenterAtom" was established in 2009 with the purpose of creation of extra budgetary funding for atomic industry development. The activity of JSC "CenterAtom" is intended to raise the economic output from non-core assets of the "Rosatom" State Atomic Energy Corporation, to increase the liquidity of assets through effective management and implementation of non-core assets of the corporation. To achieve the mentioned goals the company needs transparency on all functional levels and optimization of business processes. Migration to electronic document management system (EDMS) is an important step in formation of the required conditions.
The main goal of EDMS implementation was complex automation of document flows and all paperwork functions of JSC "CenterAtom" organization departments. Before the project started the customer used only paper workflow and filed documents in MS Excel format that suppressed the work process. In autumn of 2010 JSC "CenterAtom" held a tender on electronic document management system implementation and choose I.T.Co to execute the project. As a result of various systems capability comparative analysis, ECM class BOSS-referent system on IBM Lotus Notes/Domino proved to meet the functional requirements best of all.
I.T.Co specialists were expected to implement EDMS on 50 sites, to adjust automation of the main business processes of the company, to enhance the implementation practice control and to optimize cooperation between organization departments.
The I.T.Co project team started with analytical analysis of the company’s workflow, jointly with the customer formed the system specification, developed optimum configuration for document flows electronic processing and executed primary system adjustment. Further EDMS was implemented, beta tested and all users were trained.
Project resulted in automation of inbound and outbound correspondence processing, expansion of inside organizational-administrative documentation, registration of written and oral citizens compellations, documents creation, adjustment and execution control. Moreover, the EDMS received the module of "Contract control" that allows control of phase-to-phase execution of contracts and presents the reports of executed work.
By implementing EDMS the customer received a transparent scheme of documents processing, effective tool for all company divisions’ cooperation along with enhanced efficiency of working with documents.

Spring of 2011 became a period of consolidation of all ECM practice in the I.T. Group that resulted in establishment of "I.T.
